By registering for an event with Haven House Children's Hospice ("we") you are agreeing to the following terms and conditions.
Haven House events & Third Party Challenge events

General
  • If you are registering other people into an event you are accepting the terms and conditions on their behalf and are confirming that you have been given the authorisation to do so.
  • We reserve the right to close registration when participant levels reach capacity.
  • Participants under the age of 16 years must be accompanied by a parent or guardian, who will take full responsibility for them throughout the event.
  • You confirm that you are healthy and fit enough to participate in the event activity. If you have any fitness concerns, advice should by sought by your GP in advance of the event.
  • For the purposes of the event personal information will be collected and may include medical data collected for health and safety purposes.
  • Personal information will be stored, used by the event organiser and their partners in connection with the organisation, staging and administration of the event.

Event changes, cancellations and refunds
  • Once registered, you will receive written confirmation of your place. Your entry and any fees associated are non-transferable and non-refundable.
  • We reserve the right to change any details of the event, such as course distance, the event date, changes to the course, or make any other amendment to the event that we deem necessary to stage the event. Any change to the event will be communicated to participants as soon as possible.
  • Refunds can be requested in the event of any date change. No full or partial refund shall be made for any change in start time for an event provided the event takes place on the specified date of the event.
  • We reserve the right to amend the event format or cancel the event due to circumstances beyond its reasonable control or for any safety related reason with no further liability whatsoever arising from such cancellation. In the event of Haven House cancelling the participant will be offered a full refund unless the place is able to be transferred to a different day.
Liability
  • You agree to take part at your own risk. We shall not accept liability for any injury to any person as a result of participation in this event.
  • We shall not accept responsibility for loss of or damage to participants’ property or property belonging to third parties.
  • Any participant that acts negligently, maliciously, with willful misconduct or otherwise without due care and attention for the event or other participants, to cause the participants removal from the event, will not be entitled to a refund.
  • Haven House reserves the right at any time to remove participants from the event.

Sponsorship
  • If you are signing up for an event that states a minimum sponsorship target, we ask you to make a pledge to raise this amount. We will be on hand to support you to raise your target and offer fundraising ideas and materials. For some events, the sponsorship target covers the cost of a participant’s place in the event (e.g. London Marathon) which Haven House has paid for. By not raising the minimum sponsorship target, Haven House would be at a loss.
  • All sponsorship money collected in respect of the event should be paid directly to Haven House Children’s Hospice within six weeks of the event day.
  • If you are unable to take part in the event, all sponsorship money will be treated as a donation, unless your donors request the return of their sponsorship. In these cases individual donors must be contacted by the participant, who must then ask them to contact Haven House directly.
Communications and marketing
  • By registering you agree to receive emails, mail and texts regarding information about this event, which may include location, parking details, health and safety information, recommended clothing and footwear, training advice and fundraising guidance.
  • Photographs and video footage taken during the event may be used to publicise this event and the work of Haven House Children’s Hospice. If you do not wish to appear in any photographs or films please notify a member of the Haven House event team.
On the Day
  • If you arrive 15 minutes after the start time of a walk/run, you will not be able to participate in the event and any registration fees will be treated as a donation to Haven House Children’s Hospice – refunds will not be issued.
  • Whilst you may be able to sign up to take part in certain events on the day, it will be on a first come first served basis. We therefore reserve the right to refuse entry should an event already be oversubscribed.
  • Haven House Children’s Hospice reserves the right to update their terms and conditions in relation to the event at any time or prior to the event day.
Do Your Own Fundraising
  • I confirm that I am doing this fundraising event in aid of Haven House, and that it is my responsibility and Haven House bears no responsibility or liability for the event.
  • I will give my best efforts to raise money for Haven House, and hit any target I have set myself.
  • I understand that Haven House insurance doesn’t cover the event, and that if need be I will arrange appropriate insurance cover for the event.
  • I understand I am responsible for the health and safety of everyone involved in my event.
  • I am responsible for ensuring food hygiene and ensuring that I have the relevant licenses e.g. if selling alcohol at the event
  • I will be clear to everyone supporting my event all money I send to Haven House will be treated as a donation and used for their work supporting local seriously ill children.
  • I will send all monies donated to Haven House either by cheque, BACS, phone or an online donation no later than four weeks after the event.
  • I will check with Haven House before contacting any companies, press or celebrities.
  • I understand that Haven House could ask me to cancel my fundraising and withdraw their support at any time if they deem it to be unsafe, or bringing the charity into disrepute.
  • I will act in accordance to charity law at all times, and will not bring Haven House’s name into disrepute.
  • - I will be clear to all attendees and sponsors the event is ‘In aid of’ Haven House
  • - I will use the ‘In aid of’ logo, include the registered charity number in all artwork and ensure the Haven House team has sign off before anything goes to print
  • - I will secure the necessary licenses or permissions prior to undertaking street collections or collections on private property. House-to-house collections are not permitted.
  • - I will secure appropriate licenses for any raffles, selling alcohol and food and playing music in a public space.
  • I understand I can speak to the Community Fundraising and Engagement Team any time between 9am-5pm Monday – Friday with the exception of Bank Holidays for advice, support and information.
